SYDNEY CBD – PART TIME to FULL TIME
 
Due to unprecedented growth an exciting opportunity for an Executive Assistant/ Personal Assistant/ Office Administrator a fast paced, dynamic SME business is available. We need a methodical operator to run our structure behind the scenes!

Job Capital is the fastest emerging player to offer payroll packaging for Australian and overseas contractors, migration services, tax return and superannuation refund services plus out source back office for SME's and recruitment businesses.
 
Job Capital is seeking a proven team player and strong operator who is reliable, consistent and proactive to join our team. We have a very flat management structure, encourage ownership and are an entrepreneurial team of winners.
 
Hours are flexible and the role is initially part time basis eventuating to full time as the demands of the business grow.
 
Reporting to and directly assisting the Managing Director, you will need to possess the following skills and attributes;
 
Responsibilities Include:
  • Provide high level Executive and Administration Support Services to Managing Director and Sales team.
  • Draft , prepare and co-ordinate correspondence, tender submissions, reports and presentations.
  • Manage immigration programs (Business Sponsorship, Labour Agreement)
  • Confidential information management
  • Full database management
  • Website copy, updates and management
  • Marketing material and advertising management
  • Organise appointments , schedule and arrange meetings ( travel arrangements where necessary)
  • 360º contract administration
  • Co-ordinate flow of communication from client, contractor and through the business
  • Manage general office admin such as expense claims, bookings, ordering of stationery, buying kitchen supplies, filing
  • Organise ad hoc events as they arise (e.g, Christmas parties, company dinners etc)
  • Compose general business correspondence both internal and external
  • Formulation and maintenance of internal office procedures  
  • ability to meet daily, weekly and monthly deadlines  
  • Efficiency in minute taking and data entry

Key Attributes
  1. Highly motivated and efficient
  2. Works well in a team environment plus one on one
  3. High level of competency in MS Word, Excel & PowerPoint
  4. Ability to liaise with all levels of management within a range of organizations
  5. Strong verbal and written communication skills with high attention to detail.
  6. Proven experience of formatting documents to tight deadline
  7. 3 - 5 years plus experience in PA or EA capacity
  8. IT savvy with a sound knowledge of computer / database applications  
  9. A proactive, positive and “can do” attitude with a hands on approach
Ideal Background
Recruitment, Immigration or Payroll Management Company
Familiarity with Payroll Packaging, Immigration or Contingent workforce management would be highly regarded
